Last updated Aug 11, 2024 in Setup & Onboarding

Introduction

This guide will walk you through the process of setting up automated email forwarding in iCloud Mail for regular consumer accounts. We’ll cover how to forward all emails and how to create rules for specific senders or domains.

Prerequisites

  • An iCloud account with iCloud Mail enabled
  • Access to a computer (not mobile device)
  • An Aiko account (for forwarding to Aiko)

Copy your Aiko Forwarding Address

Before setting up forwarding in iCloud Mail, you’ll need your Aiko forwarding address:

  1. Sign into your account at app.aikoemail.com
  2. Find the Snapshot you want to forward emails to.
  3. Click the Snapshot.
  4. Click “Copy” on the “Forward emails here” field.

The email address will look something like this:

Forwarding All Emails

  1. Go to icloud.com and sign in with your Apple ID.
  2. Click on “Mail” to open iCloud Mail.
  3. Click the gear icon in the lower-left corner and select “Preferences”.
  4. Click on the “General” tab.
  5. Next to “Forward my email to:”, check the box and enter the forwarding email address (e.g., your Aiko address).
  6. Choose whether to keep a copy of forwarded messages in your iCloud Mail inbox.
  7. Click “Done” to save your changes.

Creating Rules for Specific Senders or Domains

iCloud Mail doesn’t have a direct way to forward emails from specific senders or domains. However, you can create rules to move emails to a specific folder, which you can then set up for forwarding:

  1. In iCloud Mail, click the gear icon and select “Rules”.
  2. Click “Add a Rule”.
  3. Give your rule a name (e.g., “Forward emails from John” or “Forward emails from example.com”).
  4. Under “If a message”, select “is from” from the dropdown.
  5. Enter the email address or domain:
    • For an individual: enter the full email address
    • For a domain: enter “@domainname.com” (replace “domainname.com” with the actual domain)
  6. Under “Then”, select “Move to folder” and choose or create a new folder.
  7. Click “Done” to save the rule.

  8. Now, go back to “Preferences” > “General”.
  9. Next to “Forward my email to:”, check the box and enter the forwarding email address.
  10. Click on “only selected folders”.
  11. Check the box next to the folder you created for the rule.
  12. Click “Done” to save your changes.

Managing Forwarding and Rules

  1. To manage forwarding, go to iCloud Mail settings (gear icon > Preferences > General).
  2. To manage rules, go to iCloud Mail settings (gear icon > Rules).
  3. Here you can view, edit, or delete existing rules.

Tips

  • Test your rules and forwarding by sending test emails to ensure they’re working correctly.
  • Regularly review your rules to keep them up-to-date.
  • Be cautious when forwarding sensitive information.
  • iCloud Mail has a limit on the number of rules you can create, so combine rules when possible.
  • If you’re using two-factor authentication for your Apple ID, you may need to generate an app-specific password for the forwarding email address.

Limitations

  • iCloud Mail doesn’t offer as much flexibility in forwarding as some other email providers. The workaround of using folders and selective forwarding is the best available option for forwarding from specific senders or domains.
  • There may be a delay in forwarding emails when using the folder method.

All set!

You’ve now set up automated email forwarding in iCloud Mail. While iCloud doesn’t offer direct forwarding for specific senders or domains, you can use rules and folder-specific forwarding to achieve similar results. This will make using Aiko even easier.
